Administrative Assistant (Part-Time)

Summary
Supports GBPS coalition with administrative details and accomplishments of coalition objectives, updates and monitors GBPS task as delegated to assist with ensuring progress to meet deadline.

Duties and Responsibilities
Experience working within identified communities to increase youth/resident involvement for resolution of community issues. Candidate should demonstrate ability to work with diverse and high need communities, create, engage and help to sustain youth and community coalitions to include, residents, schools, business, social service agencies, legislators and other community stakeholders.

  • Handles calls, direct flow of communications, and manages mailing, emailing, and updating of project progress

  • Responsible for assisting with Coalition minutes, and updating members of events, meetings, workshop.

  • Maintain Coalition calendar of events

  • Support creation and maintenances of GBPS data base

  • Maintain and secure attendance sheets, survey information, etc., documentation of program initiatives

  • Fix commitments to maximize time efficiency; Allow decision/desk time

  • Collects and tracks data generated by project implementation to ensure that program reporting and outcome measurement requirements are satisfied.

  • When Project Coordinator convenes meetings:

  • Prepare agenda in advance

  • Attendance Sheets

  • Arrange meeting facilities

  • Act as recording secretary; prepare action minutes

  • Confidentiality

Minimum Requirements
Possess strong communication skills, knowledgeable in data entry, excel, word, and email
communication.
